Business Need
In our organization, management structures are not always limited to a single direct manager. We often have multiple managers responsible for the same team or organizational unit. Currently, HelloID can only import one manager per layer from AFAS, which causes limitations in workflow automation and notifications.
We want HelloID to automatically determine managers based on the Organizational Entity (OE) code relationship between the employee and their parent OE code. This approach would reflect our actual structure in AFAS and ensure accurate manager assignments.
Current Situation
At this moment, HelloID uses a single manager field from AFAS, meaning only one person can be recognized as the manager of an employee. This setup doesn’t support cases where multiple managers exist on the higher-level OE (formation place).
Proposed Solution
  1. Read the OE code of the employee (e.g., HR-009).
  2. Determine the parent OE code (e.g., HR-005) in AFAS.
  3. Retrieve all employees assigned to the parent OE code (HR-005).
  4. Consider all these employees as managers for employees under HR-009.
This would make it possible to automatically assign multiple managers from the parent OE to all subordinates in the child OE, without the need for custom scripting or static mappings.

  • Enables multiple managers per layer, accurately reflecting real AFAS structures
  • Greatly improves notification and approval routing in HelloID
  • Eliminates manual maintenance or complex custom logic
  • Ensures consistency between AFAS and HelloID’s role-based processes
Example Use Case
Employee "John Doe" belongs to OE code HR-009.
The parent OE code is HR-005, which has two employees: "Alice Smith" and "Bob Brown".
Both Alice and Bob should be recognized as managers for John Doe within HelloID.
When John performs an action (e.g., submit a request or update data), notifications should be sent to both Alice and Bob automatically.
